Detecting Occupational Fraud

As an employer, understandably you think it is your responsibility and moral duty to empathize with and trust those working for you. Indeed most of the time that makes the most sense. However, as much as this is important, it is also necessary to at least be aware that there is always the possibility that your employees may get involved in deceitful activity under the garb of honesty. Most employers realize very late that there was a traitor operating right under their nose. And the saddest part of all is it often turns out to be one of their most trusted employees.

It is necessary to detect and solve the problem of occupational fraud because it not only costs you thousands of dollars but can also result in confidential company information being given out. This article discusses how employers can protect themselves against occupational fraud by identifying behavioral flags at the right time.

First, it is very important to understand what we mean by occupational fraud. It involves using one’s occupation fraudulently for personal gains. The employee in question might steal company money, sell company property (including secrets), and fabricate financial documents or misuse corporate assets.

Why does it happen?

According to criminologist Donald R. Cressey, there are three factors that might instigate an employee to go down the wrong path. It includes incentive, opportunity and rationalization. The incentive is the factor that drives the person to commit a fraud. The first is the desire to live a luxurious life which requires money. The second possible motivation could be economic distress.

Speaking about the aspect of rationalization, the perpetrator tries to justify his actions. In some cases, he is in dire need of the money. He steals the money secretly with the intention of replacing it later before it is known to anyone. However, he gradually goes deeper and deeper not realizing it.  Second, he chooses to steal because he believes it to be his right. He believes he is not being paid for what he deserves. Finally, he thinks he has earned it.

The third aspect according to Donald R. Cressey is opportunity. The employee in question looks for the right opportunity to commit the fraud. This is either when no one is around or when the fraud controls are relaxed.

Behavioural Patterns That Ring the Bell for You

  • If you have an employee that works extraordinarily hard. You will notice that the person rarely takes time off or works odd hours to complete tasks assigned to him. Also, he or she rarely goes on a vacation. He is planning the whole thing, covering up for it or waiting for the right opportunity.
  • If you have an employee who lives way beyond his means. For example, an employee who finds it hard to meet his monthly budget has recently purchased a pricey car or a luxurious mansion.
  • If an employee is in economic distress. Everyone faces some form of financial crisis. It could be an exorbitant medical bill or a house mortgage. However, there are some who are deep in debt and desperate for money. If such a person is given charge of the cash or checkbooks, you are tempting him to steal.
  • If an employee has specific addictions. It could include substance abuse, alcohol or gambling. These people are always in need of money and they would do anything to get money.
  • If an employee is a real complain box. There might be employees who feel they are underappreciated or under paid and look for other ways to enrich themselves.
  • If there is an employee who becomes suddenly very secretive about his actions and refuses to let anyone else take charge of duties.
  • If there is an employee who is unnecessarily close with stakeholders, vendors and clients.

In today’s modern times, it is easy to lose touch with friends and family, but luckily finding people you have lost touch with may never be guaranteed but it is easier and cheaper than ever. We are so caught up with our own lives that we barely have time to see what’s happened to a neighbor living a block away. Also, relocating is another reason that breaks communication, eventually ending in lost contacts.

At some point though, you might find it both important and necessary to reconnect with these people who matter the most to you. There are different options when it comes to social media. The first includes Facebook, a social media site that has gained global popularity. By simply entering names, you will find it easier to locate the people you are looking for. You can also go through mutual friend profiles to try finding your lost contacts. Social media sites also have groups and they can include former school groups. You can therefore use such groups to try finding the person that you are looking for. It is one of the easiest ways of finding the people you are interested in. This is considering that almost everyone uses social media today. Never forget Facebook is not the only option – there are plenty more out there including LinkedIn, Friends Reunited, Instagram and many many more.

Use of Search Engines

You can directly enter the full name of the person you are looking for on a search engine. The most relevant results will then be displayed. With the results, you will know how to start with the search for the right person. The good thing with search engines is that they will give you the full details of matches making it easy to pick the right person. For instance, if the friend you are looking for started a business, you will get everything including the location of the business. It makes it easy for you to head straight to where they are.

Apart from the social media, search engines and web services, you can also (in some countries at least) try electoral register, land registry, marriage records and even death records. You can also try tracing them through former employers till you find their current employer. There are numerous options when it comes to finding individuals you have lost touch with. The finding will depend on how determined you really are in getting in touch with them. You can even go as far as writing a blog and promoting it locally to reap results. It is however important to be ready for the outcome relating to the urgency of your search. This is because their statuses might have changed during the separation.

Advantages of a Stereotype

Whilst stereotypes are often seen as a negative presumption about someone due to their particular gender, race or religion, in some cases stereotypes can be hugely beneficial. In the role of being a private investigator, it is your job to appear as unsuspicious and inconspicuous as possible, in order to convince the person you’re pursuing that they are not being investigated. Most of the time, people will not assume that they are being pursued, unless it is made blindingly obvious to them, which means that in the majority of cases, you can investigate without worry of being detected. However, that does not mean that you shouldn’t seek ways to draw as much attention from yourself as possible, and being a woman actually helps with this process significantly.

Now this is by no means suggesting that men are not good private investigators, but it does see how since people often associate males with being P.Is, women are less suspicious. Let’s face it, if you were to learn that someone was attempting to pursue you, there is a high chance that you would scan your surrounding area for men first. You are highly unlikely to immediately begin looking at all of the females in the sector, unless you already knew that the person following you was that gender.

The fact that women are not assumed to be private investigators makes them incredibly useful for investigations where the pursuer is more likely to be detected. Whilst the person in pursuit is busy analysing all of the males around them, the private investigator can keep a close eye on the suspect, and remain unnoticed. There is also a lot to be said for the many qualities that women have that make them excellent private investigators. Aside from their natural ability to multitask more efficiently than men, women don’t often let their ego cloud their judgement in a situation; they are proven to be substantially better than men at reading situations and acting accordingly.

With these points in mind, it is easy to see why women are useful as P.Is and why the stereotypes associated to P.Is allows them to have an easier time when investigating. Hence, we do not limit the Private Investigators we appoint to just men, as women certainly have their place in the industry too. In fact, women have shown time and time again that they are not only equally capable of being a private investigator, but in some cases, more effective than men!

Mobile Identity theft is scaling new heights. Not only this, it is expected to grow considerably. The primary reason for it is the soaring use of mobile devices such as smartphones and tablets. According to the statistics, there is a new case of identity theft every 10 minutes. The number is expected to grow in the coming years given the use of smartphones and tablets.

In order to understand what mobile identity theft is, it is important first to understand the concept of identity theft.

Identity Theft

Identity theft is regarded as a serious criminal offence. It is a situation in which, a person fraudulently passes another person’s personal information as his own to secure certain benefits. This private and confidential information can include a person’s social security number, credit card number or driving license number etc. As the name of the offence states, the information is not given voluntarily but robbed.

One of the reasons a person steals another’s identity is because the latter might need it to get certain services, merchandise or credit. The second possible reason is to use the credentials which he can use to run up a debt or to mask his crimes by providing false identification to the police. The information can be used to obtain cellular phone services, open a new checking account or to establish a new credit card account.

As such, we not only share but also store a large amount of personal data on them. If your mobile falls into the wrong hands, this personal information can be misused; it is either used to steal money or to create a fake identity. The consequences of mobile identity theft are seriously damaging. The effects are long-term and hence, one should take adequate steps to prevent it. Following is a list of tips to protect sensitive information from being robbed.

  • Setting a password on your phone is the first step towards protecting yourself against mobile identity theft. Also files containing confidential information must have a further layer of password protection. Names, birth dates and telephone numbers are easy passwords. A strong password is one that includes numbers, alphabets and symbols.  Pattern passwords should be changed regularly.
  • Set an automatic lock to lock your phone. As such, it should lock automatically when the phone is not in use. In this way, no one will be able to access your phone although it is left unattended and they have an opportunity to do so.
  • Along with securing your smartphone, you should also be cautious about where you shop. This implies shopping at secure sites; those that guarantee to protect sensitive information submitted to them. The website URL in the address bar helps tell if a website is secure or not. A secure website has ‘https: //’ instead of ‘http: //’. A secure shopping site also includes the padlock symbol in the URL.
  • Secure your smartphone with a good anti-virus program. It protects the system for virus and malware that could possibly be the activity of hackers. Antivirus programs also include a tracking feature that allows you to track the phone if it is lost.
  • Financial information should not be shared on an unsecured Wi-Fi network.
  • Beware of the apps you download from the internet. The apps should be updated regularly to keep them operating efficiently as well as for security purposes.

Identity thieves are continually finding new methods of fraud. A growing concern we have been picking up on recently in the west is using children’s social security numbers to conduct fraudulent activities.

Fraudsters use the numbers to apply for benefits from the government, open credit and bank accounts and even apply for loans. The numbers can also be used to rent lodgings or a utility service. It makes it important for every parent to search for a credit report. It becomes easy to tell if their child’s information is in any way being misused. Immediate action can therefore follow to resolve any issues that could be there.

When entering schools, the forms require plenty of details of the children they are admitting. It helps to find out how the sensitive information will be collected, used and even stored or disposed after use. Remember the information is protected under law, and you have a right to ask that the school or organization safeguard such sensitive information. It is a simple way of minimizing identity theft cases.

Fraud Warning Signs

Here are a few of the warning signs of a child’s information being used in fraud:

  • The child or you are turned down on government benefits. The reason will usually be that someone else is being paid using the social security number in question.
  • You receive an official notice claiming that the child did not pay income taxes. It could also be a claim that the social security number has been used on a different tax return.
  • You get bills or collection calls for services and products that you never received. They are all telltale signs that something is very wrong.

How to Prevent Child Fraud

There are several ways you can use to protect your child’s identity from being misused in fraud. You can start by finding a safe and secure location or storage for electronic records and papers which contain all personal details of the child. It minimizes the risk of the documents falling into the wrong hands.

Ensure that you do not share the Social Security Number of your child with anyone unless it is a party that you trust fully. You should find out why such details are needed and how they will be protected from any form of circulation. If there is an alternative identifier, you can see if it is possible to use that one. You can also ask (at least in some countries) that only a few digits of the number be used.

If any documents containing the personal information of the child become invalid or are of no use any longer, shred them or dispose of them properly.

You should take precaution when there is a security breach at school, a break in at home or you have a lost purse, wallet or any paperwork that contained such private and confidential information.

Improvisation and Private Investigation

Working as a private investigator in Indonesia requires many skills – patience, tenacity and great observation to name but a few.

Not many people would realise that good acting skills are also a great asset. One particular aspect of acting is improvising in a difficult and unpredicted situation.

A private investigator just never knows what will happen next. You could be on a stakeout, sitting in a car, and nothing happens for a few hours. All of a sudden a security man is tapping hard on your window and your heart skips a beat.

At a moment’s notice you have to wind down the window and often (although you are prepared as much as possible) have to improvise.

Two of my colleagues came back from a case just last week. They (a man and a woman) had followed someone into a hotel. The target was making his way to a room down a small corridor when suddenly he turned around and headed straight towards them. What did they do? Their response was not prepared and they acted spontaneously and improvised – they held each other like lovers.

Last month I was on a case in Western Sumatera. Our target was a senior CEO and often had with him a driver and a small group of people who seemed to be some kind of minders.

We had had a succesful ten days of surveillance and then one day it seemed we were “burnt” (this is private investigator language for when the target suspects being followed).

We were out in the street and the target had entered an office complex leaving his driver outside.

I noticed the driver looking at us. Perhaps over the ten days he had noticed us before, after all it was a very small town and we were not from there.

About 15 minutes later we saw four men and the driver coming towards us. My partner told me to stay calm and relax.

Two men stood behind us and three were in front asking questions about why we were in the town and what we were doing. They seemed initially quite aggressive.

As a private investigator we always prepare cover stories for a range of scenarios for every case. But it is impossible to prepare for every situation that may happen or for every question that might be fired at you.

The key is to be prepared as much as possible but also to stay very calm and relaxed.

Even with preparation, improviation, to some degree, is needed. From my experience as a private investigator here are some tips on improvisation:

Improvising Tips

1.     Confidence. 

You don’t want to seem shy and unconfident. You must display confidence. When you’re confident, anything can be done. When you’re not confident, you feel limited.

 2.     Energy.

You must try and be full of energy. This will make you feel relaxed and anyone speaking to you will think you have nothing to hide.

 3.     Focus. 

It is important not to lose concentration on the conversation. Equally important you should focus on the scene around you, and be aware for any possible dangers.

 4.     Listen and watch.

You need to listen very carefully to what is being asked.That way you can react correctly to what they are saying. You must try and “be” the character you’re improvising. You must also watch for any non-verbal signals. This will help you pick up on anger, disbelief, sympathy etc. Then you can react accordingly.

 5.     Stick to your story. 

If you establish one line of story, stay with it. Never change or you will almost certainly be caught out.

6.     Eye contact. 

Without eye contact people will soon pick up that there is something wrong with any story your are telling.

 7.     Agression.

No, never become aggressive or over-assertive unless you absolutely need to or you are cornered and threatened.
